Delivery

Delivery of materials to the public libraries in Sheboygan and Ozaukee Counties, Lakeland College, and Kettle Moraine Correctional Institution is one of the services provided by the Eastern Shores Library System.  Items delivered among the libraries include letters, and memos, items being borrowed on interlibrary loan, items that were borrowed from one library but returned to another, kits of materials for use in programming, promotional materials, summer library program materials and library equipment.  Many items were requested through EasiCat, the Eastern Shores online catalog, that customers use to request items.  David Weinhold, Eastern Shores Director, reports that the cost per item (box, book, DVD, envelope) delivered is 1/3rd the cost of a postage stamp. 

In addition, ESLS contracts with the South Central Library System based in Madison to provide daily delivery of items to the ESLS office.  All items to and from libraries outside of ESLS go through the system office.  

Who is on the Wisconsin Delivery System

The libraries who receive delivery from the South Central Delivery or through delivery from their own library system are listed here: http://www.sclsdelivery.info/network/networkhome.htm .  This is the most up-to-date listing--do not rely on a printed list or a state map when marking items for delivery.  Changes are made to this list as new libraries are added or removed from the delivery system.

Items from selected libraries in Minnesota, North Dakota, and South Dakota that are part of the MINITEX consortium can be sent on the South Central delivery service. 

 If the library is not listed on the master list, the item must be mailed or sent via some other type of delivery method.

How the ESLS System Works

The ESLS drivers leave the ESLS office each weekday morning at approximately 7:00 a.m.  The first stop is at Mead Public Library in Sheboygan.  They then proceed through the delivery schedule, stopping at each public library and Lakeland College before returning to the ESLS office.

In addition to the public libraries and Lakeland College, the truck delivers items to KMCI on Wednesdays.

The driver sorts items on the truck so an item for a library that follows your library on the delivery schedule should get to that library the same day.  Otherwise, the driver places it in the correct bin for delivery the next day.

The South Central Delivery System van stops at the ESLS office each weekday at approximately 10 a.m.  The items in those bins are unpacked and put on the appropriate library's delivery shelf for delivery the next day.

When the ESLS  driver returns each day, she/he puts the items for delivery to Wisconsin libraries who are on the state delivery service into the bins for pickup by the South Central Delivery System van the next day.

Sending Items on the Truck

Routing Slips
All ESLS items going to other ESLS libraries should have a yellow/white routing slip with the appropriate library name written on top and also circled on the slip.  The exception to this is when your library has a large number of items for other ESLS libraries.  Place each library's items in a separate bin and clearly label the bin with that library's name.  Contact Paula if you need new masters or yellow paper to print your slips.

Pink Routing Slips
Use the pink routing slips when sending or returning items to non-ESLS libraries who receive delivery through the South Central Library System delivery.  Check the South Central delivery list to verify that the library receives delivery and also to determine its "system delivery hub." 

To label a pink slip:
TO:  System hub
FOR:  Library

Libraries that print shipping labels or return labels from VDX for interlibrary loan items may use these labels instead of the pink slips to send or return items on the delivery van.

Salmon Routing Slips

Yellow MINITEX Routing Slips
Use the yellow MINITEX routing slips when sending materials to MINITEX libraries.  For a list of participating MNITEX libraries:  http://www.minitex.umn.edu/delivery/  Contact the ESLS office if you need more MINITEX routing slips.

Blue Delivery Bins
The driver will typically leave the same number of bins at your library as he takes out.  Let him know if you need more.

Inter-Office Envelopes
Be sure to clearly label these with the person's name and the library name.  If you have extras, set them aside for the driver with the label "Extra for ESLS" attached.  Verify that the envelopes are empty before sending them back to the ESLS office.  

Inter-office envelopes going to libraries outside of ESLS should have a pink routing slip attached with removable tape.

Kit Labels
When the Time for a Tale kit or Bi-Folkal kits are delivered to your library, they will be labeled with a red tag that has your library's name on it.  To return, turn the label around to display the Eastern Shores Library System label.

Shipping Guidelines

Bundle materials of the same size together
Do not create a “pyramid” bundle—this wastes space and breaks rubber bands

Do not form bundles over 3 inches high

Two rubber bands crisscrossed at the center are preferable (ensures that any paperwork stays inside)

Place rubber bands as close to the center/middle of the item as possible

When packing a bin, leave a couple of inches free at the top so they can be stacked in the van

ESLS Items Lost in Transit
Libraries should first check their own shelves for the missing items that they own.

Libraries should run an "in transit" list bi-weekly, check their shelves for the items and then route them to the appropriate library.

The Library should submit a claim for missing items by the end of the first quarter of the following year.  (In 2011 for items missing at the of 2010).

Based on claims received, the Library System will prorate the reimbursement and make the payment to the library(ies) submitting the claims.
